  • Fulfilling your booking and managing event logistics.

  • Marketing: We offer a mailing list/newsletter, but this is strictly on an opt-in basis for website visitors. Existing booking clients will only be contacted regarding their specific event, unless they separately opt into the marketing list.

  • Social Media & Marketing Materials: Details such as customer reviews, photographs, or videos of an event may be shared on our social media channels or website only if express permission has been granted by the client on their booking form.

4. How We Store and Share Your Information 

We take the privacy and security of your data seriously. Your information is stored digitally on a secure, password-protected Google Drive, a password-protected personal laptop, and a password-protected external backup hard drive.

To run our business effectively, we share your data with the following specific third parties:

  • Other Musicians: If your booking requires a duo/trio lineup, or in the rare event a substitute/cover act must be arranged, we will share the details of your booking form (including your name, timeline, and venue details) with those specific musicians so they can fulfill the booking.

  • Financial & Invoicing Software: Client names, invoicing addresses, and email addresses are securely stored in our banking app (Mettle by NatWest) for invoicing, and our accounting software (FreeAgent) for self-assessment and tax return purposes.

  • Accountancy Services: We share relevant financial and billing records (such as invoices containing your name and address) with our appointed personal accountant, Silver Lining Accountancy. This information is shared securely and used solely for the purposes of preparing our tax returns, financial reporting, and general accountancy compliance.

5. Data Retention We retain your personal information only for as long as necessary to fulfill the purposes outlined in this policy.

  • Financial and Booking Records: To comply with UK law and HMRC tax requirements, all financial records, invoices, and booking forms are securely stored for up to 6 years.

  • General Inquiries: General email inquiries and correspondence are retained on file indefinitely to maintain accurate communication history, unless you explicitly request their deletion.

6. Log Files & Website Cookies Georgia Clementine Music follows a standard procedure of using log files, facilitated by our website hosting platform, Squarespace.
