1. Scope of Services Georgia Clementine Music provides live musical performances for weddings and private events, as well as bespoke studio, video and audio recordings. The specific details of the performance or recording will be outlined in your individual booking confirmation.
2. Client Responsibilities & Performance Conditions To ensure the best possible performance, the Client agrees to the following conditions:
Accurate Information: The Client is responsible for providing accurate details relating to the event location and timings. If details are not included in the initial booking form, they must be confirmed in writing via email. Failure to do so may result in the Artist being unable to perform or locate the venue. Relevant performance conditions (e.g., sound limits, soundcheck timings, dressing rooms, outdoor contingency plans for adverse weather) must be disclosed before booking is confirmed.
Safe Environment: The Client is responsible for ensuring the venue and performing area are safe. This includes ensuring the performers are not harassed, insulted, or put in danger by guests. We reserve the right to cease performing and leave the premises if threatened or endangered. We also reserve the right to refuse to perform if conditions are objectively unacceptable or lower than initially agreed.
Changing Facilities: Please provide a secure changing area for the performers to change and store personal belongings. If this is not available, this must be communicated in advance.
3. Song Choices & Revisions A song list form will be sent to the Client 6 weeks prior to the event. All song choices and any requests for new songs to be learned must be submitted in writing via email or through the provided form no later than 2 weeks before the event. Any requests made after this 2-week cutoff cannot be guaranteed.
4. Equipment, Lighting, and Overtime
Equipment: We provide our own high-quality PA system and equipment suitable for small to medium-sized venues (up to approximately 100 guests). If your event is substantially larger, additional sound equipment will be required, which can be hired through us or provided by the Client.
Lighting: We do not provide performance or disco lighting; please ensure your venue has appropriate lighting arrangements.
Overtime: The booking form specifies a strict end time. At this time, the performers will pack up and leave promptly to fulfill prior commitments. If your event runs late, overtime may be negotiated on the day, subject to the performers' availability. Overtime fees may include covering a taxi home or overnight accommodation if public transport is no longer available. If you anticipate your event running late, it is highly recommended to book the performers until the latest possible time in advance.
5. Travel, Tolls & Parking
Travel Costs: The travel costs set forth in the booking agreement are a good-faith estimate based on current market rates at the time of booking. The Artist reserves the right to adjust the final travel fee by up to 15% should there be a significant increase in national average fuel costs or transport tariffs between the date of booking and the event date. The Client will be provided with written notice and evidence of such increases no later than 30 days prior to the event.
Parking & Tolls: If the venue does not have free parking or free street parking nearby, the Client agrees to cover any parking costs incurred by the performers unless specified otherwise. The Client also agrees to cover the cost of any mandatory travel tolls incurred on the journey (e.g., Congestion Charge, Dartford Crossing, ULEZ charges, etc.).
6. Food & Drink Rider Live performances require high energy. If the performer(s) are required to be at the venue for 3 hours or more, the Client agrees to provide the following for the duration of the agreed booking time:
Soft drinks for the musician(s).
A supplier meal or similar substantial food (e.g., a sandwich plate). Please note that a plate of canapés is not sufficient. If a meal cannot be arranged with your caterers, please inform us at least 6 weeks in advance. In this instance, £25 per musician will be added to the final invoice to cover the cost of purchasing food independently.
7. Cancellation & Refund Policy
For bookings made MORE than 6 weeks (42 days) before the event:
Cancellations made more than 6 weeks before the event: 30% of the performance fee is retained; 70% is refunded.
Cancellations made within 6 weeks of the event: 80% of the performance fee is retained; 20% is refunded.
For bookings made WITHIN 6 weeks (42 days) of the event:
Cancellations made more than 3 weeks before the event: 30% of the performance fee is retained; 70% is refunded.
Cancellations made within 3 weeks of the event: 60% of the performance fee is retained; 40% is refunded.
Free Cancellations: You may cancel within 48 hours of making your initial booking to receive a full refund. Exception: If the booking is made within 14 days of the event start time, a cancellation within the 48-hour window will only be eligible for a 50% refund.
Short Notice Cancellations: Cancellations made within 10 days of the event start time are not eligible for any refunds (unless the booking was made within the last 48 hours, under Force Majeure, or at the musician’s sole discretion).
8. Musician Cancellations & Lineups
Musician Cancellation: In the rare event that the Artist is forced to cancel a booking (e.g., due to severe illness), as much notice as possible will be given. The Artist will actively utilize their professional network to help find a suitable replacement or recommend reputable agencies. If a cover act is successfully arranged to fulfill the booking, the fees paid will not be refunded immediately, but will instead be transferred directly to the new act. If a suitable replacement cannot be found or agreed upon, a full refund of any fees paid to the Artist will be issued immediately.
Lineups: For duo or trio bookings, the Artist reserves the right to arrange stand-in players if a scheduled musician becomes unwell or is otherwise unable to fulfill the commitment due to unforeseen circumstances. All stand-in players are highly vetted, reliable professionals.
9. Photography, Filming, and Artificial Intelligence (AI)
Photography by the Client: Unless expressly prohibited on the booking form, the Client is granted the right to take photographs and videos of the performance for personal use and event documentation only. Commercial use of this media requires prior written consent from the Artist.
Photography by the Artist: Unless prohibited by the Client or the Venue, the Artist may take photographs and video footage at the event for promotional and marketing use. The Artist guarantees that no media will represent the Client, guests, or venue staff in a derogatory manner.
Right to Removal: If the Client is unhappy with any media published by the Artist, they may request its removal. The Artist will comply as soon as reasonably practicable, acknowledging that removal from third-party locations outside the Artist's direct control may not always be possible.
AI & Promotional Materials: The Client will not use any recording of the Artist’s performance to create, via generative Artificial Intelligence (AI) or synthetic avatar manipulation ("deepfake" technology), a simulated likeness of the Artist for use in alternative advertising or promotional content without express approval.
Supplied Images: The Client is granted a non-exclusive license to use images supplied by the Artist for promotional and marketing purposes only. These images must strictly NOT be provided to third parties for use in AI tools or uploaded to AI-powered platforms for generating, training, or modifying content. This responsibility extends to any contractors or designers acting on behalf of the Client or Venue.
10. Force Majeure In instances where a performance cannot take place due to a “Force Majeure Event,” this agreement will be null and void. A Force Majeure Event occurs when a party is unable to comply with its obligations for reasons out of its control, including but not limited to natural disasters, severe weather conditions, government actions, war, terrorism, riots, strikes, death, and acts of God.
